LIFESTEPS Executive Assistant in BUTLER, Pennsylvania

EXECUTIVE ASSISTANT/SUPPORT SUPERVISOR (On-site)

Lifesteps, is a non-profit human services organization headquartered approximately 20 miles north of Pittsburgh in Butler, Pennsylvania. Lifesteps has been serving Western Pennsylvania for over 100 years.

 

POSITION SUMMARY:  The Executive Assistant / Support Supervisor is responsible for assisting the President and Chief Executive Officer (CEO) with projects as assigned.  Assists with meetings of the Corporate Board of Directors, Corporate Management Team (CMT), Agency Leadership Team (ALT), and Agency Communication Team (ACT).  Supervises assigned staff.

 

ESSENTIAL FUNCTIONS:

  • Maintain President and Chief Executive Officer's calendar and schedule/confirm appointments.
  • Evaluate, recommend, create, and prepare positive and effective communication and correspondence for President and Chief Executive Officer (i.e. "Whale Done", Thank You Letters, etc.)
  • Ensure Agency communications and documents are maintained in appropriate locations.
  • Follow up on projects assigned to managers by the President and Chief Executive Officer.
  • Initiate and draft speeches, newsletter columns, presentations for President and CEO.
  • Research/Analyze data and develop reports for management decision-making.
  • Manage and supervise the Support Department including but not limited to ensuring participation and collaboration, analyzing internal processes and recommending/implementing procedural or policy changes and ensuring the efficiency and quality of finished projects.

     

QUALIFICATIONS:

*      Required:*  

  • High school diploma/GED with post high school, specialized office procedures training
  • Two (2) years' administrative support experience supporting senior leader(s) (Revised 06/25/24)
  • Excellent communication, organizational, and writing skills
  • Ability to function independently with a high degree of comprehension, analytical skill, and attention to detail in producing work in a timely manner
  • Considerable use of tact, diplomacy, discretion and judgment when dealing with sensitive information
  • Proficient with Microsoft Office Excel and Word
  • Current driver's license and ability to travel as needed using a personal vehicle

*      Preferred:*

  • Associates Degree or higher in Business Administration

     

The Executive Assistant works a normal schedule of Monday-Friday.
