Catholic Charities of WNY ADMINISTRATIVE ASSISTANT - IRAP in Buffalo, New York
Catholic Charities is seeking a full-time Administrative Assistant for our IRAP department (Internatinal Refugee Assistance Program) to be worked out of our 20 Herkimer Street, Buffalo, NY location.

Our programs include comprehensive counseling services for all ages, basic emergency assistance including operating 8 food pantries, mental health services, chemical dependency treatment, educational and job readiness services, services to older adults, marriage counseling, immigration and refugee assistance and a variety of programs that address prevention and treatment of a number of family issues.

JOB SUMMARY : Responsible for tabulation and preparation of departmental reports, oversight of client account balances, reconciliation of client accounts with funding source, distribution of food vouchers, and bus passes.
ESSENTIAL FUNCTIONS :
Assist with the preparation of management reports
Input purchases into inventory system and generate reports
Record and track all transaction in clients' account
Understands contractual compliance and application to accounts
Process check request and invoices and transmits for payment
Prepares receipts & acknowledgements for client signature
Files receipts and backup documentation in client file
Responsible for distribution and tabulation of Client Satisfaction Survey
Distributes food vouchers, petty cash, gift cards and bus passes
Vouchering the R&P client care
Assist with activation, payment and tracking for client cell phones
Acts as backup to receptionist/secretary
Performs other duties as assigned
Complies with the Agency's Compliance Program, Code of Ethics, laws, regulations, and ethical standards applicable to your job duties.
Adheres to all applicable federal and state laws and regulations including, but not limited to those governing confidentiality, privacy, program, billing and documentation standards. All duties must be performed in accordance with CCB's corporate compliance and ethics program.
Perform other duties as assigned.
EDUCATION : High school diploma or equivalent. Associate's degree preferred.
EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES :
Must be able to work in a multi-ethnic, multi-cultural setting.
Able to function as part of a team providing services to clientele.
Relevant office experience, data entry, AP, and ability to run reports.
Strong organizational skills, excellent written, verbal and interpersonal communication skills, ability to work independently and to accept direction required.
Must be proficient in Microsoft Excel and Word.
Possesses a valid NYS Driver's License and vehicle for work related duties.
