Job Summary

The University of Colorado Boulder is searching for a Business Operations Manager ! This position reports directly to the Assistant Vice Chancellor (AVC) for Environmental Health and Safety (EH&S) and will receive essential cross training from the Executive Assistant to the AVC. This role may manage student employees working within the department. The role is responsible for multiple program areas within EH&S and helps maintain continuity of processes and procedures within the office by managing departmental budgets and working with leadership to make financial decisions based on current account budgets and future financial projections. The position is responsible for management and implementation of the EH&S website, including content development, and serves as the Technical Editor for EH&S with responsibility for ensuring content in departmental documents is clear, consistent and accurate. The role also collaborates with other staff on updating policies and procedures to implement productive workflow and ensure services and operations are effectively meeting needs of faculty, students, and staff. The position represents EH&S daily and provides direct service to students, faculty, and staff.

Who We Are

EH&S provides comprehensive safety oversight, training, compliance assurance and hazardous material management/disposal services to all campus operations (research, general fund operations, auxiliary operations, events, etc.). We coordinate with University Risk Management regarding campus safety liabilities/risks and develop programs to proactively address issues; develop and implement occupational safety programs that work to reduce risk management liabilities and claims, and coordinate responses to critical campus incidents and ensure appropriate hazard mitigation and remediation for hazardous materials incidents in full compliance with applicable federal, state and/or local regulations.

What Your Key Responsibilities Will Be

Accounting and Finance

  • Serve as manager of EH&S department budgets and finance. Work with leadership team to create budgets, control expenditures, and ensure financial practices align with applicable regulations and campus policies. Focus on day-to-day financial operations and long-term financial planning. Be responsible for allocating funding between speed types based on funding source, in accordance with the leadership team and preparing and interpreting departmental financial activity reports for each group within EH&S. Ensure daily accounting entries are accurate and consistent. Help the department ensure budget, travel, and purchasing/procurement transactions are completed accurately and in keeping with Generally Accepted Accounting Principles (GAAP). Become proficient in departmental budget (i.e., requests, development, and management) and financial transactions to ensure accurate and timely reporting and cost control.

Website Management

  • Responsible for all aspects of EH&S website, including its content, design, technical issues, and performance. The EH&S website is a marketing tool for the department and this role has full responsibility of the website's layout, design, functionality, and user interface. Be responsible for monitoring the usage (data analytics), user satisfaction and functionality of the website to ensure it meets organizational goals and user needs.

Technical Editing

  • Serve as a technical editor for each group within EH&S. Be responsible for providing edits and updates to EH&S documents to ensure that the content is clear, comprehensive, error-free, and consistent in language and formatting. Responsible for research into specific subject matter of each document to ensure clarity, accuracy, and overall readability of the text.

Human Resources Support

  • Serve as secondary Human Capital Management System (HCM) Community Member for the department and assist with human resource management. For succession planning purposes, expected to cross-train with the primary HCM Community Member to learn the campus requirements related to human resources. Become proficient in personnel matters such as the creation and updating of positions, hiring, onboarding, exit process, and leave reconciliation as well as advising employees on matters concerning FMLA/FAMLI, and new employee/retiring/resigning employee procedures. Aid in annual performance planning process for EH&S personnel and help manage personnel files and policy information. Collaborate with the HR Service Center to process personnel transactions.

Office Management

  • Fill in as the EH&S front desk representative for walk-ins and answering phone calls and emails from EH&S accounts. Work with various groups to assist with copying, scanning and other tasks as needed.

  • In the absence of the Executive Asst to the AVC, may be asked to perform other services such as:

  • act as the building Proctor by submitting work orders for building maintenance/repair.

  • act as liaison with Transportation Services to coordinate management for issues related to EH&S fleet vehicles and responsibilities for employee CDL requirements.

  • act as liaison with Parking Services to help manage EH&S parking needs.

  • act as liaison with campus OIT for assistance with desktop support, server support, and other technological support.

What You Should Know

This primarily in-person position will work regular university business hours, Monday - Friday.

What We Can Offer

  • The salary range for this position is $53,000 - $59,930 annually.

  • A signing bonus is available according to department guidelines.

What We Require

  • Bachelor's degree or equivalent combination of education and relevant experience may substitute.

  • 2 years of experience as an Office Manager, Office Coordinator, Building Manager, or similar.
