Dana-Farber Cancer Institute Program Manager - Office of Research in Boston, Massachusetts

The Program Manager II will provide programmatic support to the Office of Research during a time of immense change while Dana-Farber takes on Project NExT, a strategic initiative to transition Dana-Farber's business unit from the Oracle PeopleSoft platform to Workday for Financials, Human Resources, and Supply Chain across our clinical and research and clinical enterprise.

Dana-Farber has begun a large-scale multi-year project for Workday implementation where many members of the Office of Research and Research Department Business Office staff have been participating in designing the new system.

The Program Manager II is expected to provide broad-level programmatic management expertise while supporting the day-to-day execution of tasks to keep the research enterprise flowing. Furthermore, the Program Manager will be responsible for coordinating efforts across various departments to align the Workday implementation with the strategic goals of the Office of Research. They will play a key role in developing training materials tailored to the needs of research staff, facilitating testing phases to validate system functionality, and gathering feedback to drive continuous improvement. Program Management:

  • Develop and implement program plans, ensuring alignment with organizational objectives and funding requirements.

  • Develop and manage program milestones, deliverables, and timelines.

  • Create systems for managing program data and reporting.

  • Liaison for the Project NExT Change Management Team, ensuring that the transition to Workday aligns with research-specific needs and goals.

Staff Management:

  • Lead and mentor research staff, providing guidance and support.

  • Manage staff performance, conduct evaluations, and address any issues.

Budget Management:

  • Develop and manage program budgets, ensuring adherence to funding guidelines.

  • Track expenditures and reconcile program finances.

Grant Management:

  • Develop and manage research grant proposals, ensuring compliance with funding agency requirements.

  • Monitor grant activities and ensure compliance with funding terms and conditions.

Communication and Reporting:

  • Prepare reports and presentations on program activities and outcomes.

  • Communicate program information to stakeholders, including researchers, funders, and administrators.

Strategic Planning:

  • Participate in the development of strategic research plans.

  • Identify opportunities for new research initiatives and funding opportunities.

External Relations:

  • Build relationships with external stakeholders, including funding agencies, collaborators, and consultants.

Project NExT related tasks:

  • Data Migration Support: Assist in preparing and migrating financial data from Oracle PeopleSoft to Workday, ensuring accuracy and completeness.

  • System Testing and Validation: Participate in testing phases to validate the functionality and performance of the new Workday system and identify any discrepancies or issues.

  • Training and Documentation: Help develop training materials and documentation to support end-users in adapting to the new system and provide assistance during training sessions.

  • Feedback and Improvement: Gather feedback from users and stakeholders to identify areas for improvement and work with the project team to implement necessary changes.

  • Change Management: Support change management efforts by communicating updates and changes to relevant stakeholders, ensuring a smooth transition with minimal disruption to operations.

  • Indirect Support to Research Tower to support staff integrated within the Project.

  • Bachelor’s degree required; master’s degree preferred

  • 6 years of relevant experience in Research and/or Healthcare administration is required.

  • 3 years of experience in program or project management is required.

  • Experience within research administration and specifically with Workday implementation is preferred.

  • Marketing and social media experience preferred.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Detail-oriented with excellent written and verbal communication skills.

  • Proficiency in Microsoft Suite programs (i.e., Outlook, Excel, Word, PowerPoint, Teams). Experience with Canvas and the Adobe Design Suite is preferred.

  • Exceptional customer service skills and the ability to interact professionally with peers, leadership, and external contacts.

  • Excellent organizational, time management, and analytical skills, with the ability to prioritize and manage multiple tasks/projects simultaneously and manage situations from start to finish.

  • Prioritizes and adapts to change; accepts additional responsibilities based on the changing needs of the work setting.

  • Works effectively as a member of a team and cross-functional teams and thrives in team-oriented environments.

  • Experience navigating and succeeding in fast-paced, complex, and matrixed organizational structures

  • Strong interpersonal skills with sensitivity regarding confidential issues.

  • Desire and ability to train and mentor team members.
