Manage operations and systems for office providing immigration support services to nearly 15,000 international student and scholar clients. Develop and enhance internal and university systems and system integrations that support immigration case management and SEVIS data transfer to ensure timely and accurate institutional reporting and compliance. Supervise the SEVIS Specialist in all matters of SEVIS reporting, data analysis and system maintenance. Establish office procedures and assist with staff training. Manage ongoing special projects. Serve as primary point of contact for university offices regarding systems and operations. Hire, train and supervise all student employees Key Responsibilities/ Essential Functions:
Supervise SEVIS Specialist in all matters of SEVIS reporting, data analysis, reconciliation, and system maintenance. Serve as secondary SEVIS technical authority. Develop and manage internal office systems to handle SEVIS reporting. Monitor follow-up through an electronic system. Assist with the management of any third-party vendor software for SEVIS reporting and institutional compliance. (25%)
Serve as member of the ISSO administrative team (strategic planning, statistics, policy management, system development, communication efforts, etc.) Manage ongoing special projects such as internal SEVIS system development, archive file and electronic communications. (25%)
Manage systems supporting immigration client recordkeeping and federal regulatory reporting. Develop and implement system enhancements to improve efficiency, case management and accurate recordkeeping. Run populations lists for administrative team to analyze new student check-in and semester verification. Perform statistical reporting and analysis for various publications. (20%)
Coordinate with IS&T and Global Programs Technology Support team to support staff use of hardware and various software including but not limited to Onbase, Office 365, 3rd party immigration and calendaring solution to support business needs. Maintain extensive electronic filing system and databases. (10%)
Assist with the management of office operations including scheduling, procedures, and immigration document distribution. Coordinate with Global Programs colleagues to provide logistical coordination for outreach events and meetings and operations such as ordering of supplies and equipment, university reservations, catering, contract suppliers, telecommunications, space management, facilities maintenance, etc. (10%)
Hire, train and supervise all student employees. Maintain payroll records for students and casual employees (weekly payroll entries, time sheets, etc.) Supervise work-study and student payroll employees who assist the office with special programs and projects, and with office support services. (10%) Required Skills
Minimum of a Master's degree or the equivalent in business management, finance or a directly related field
5 years of experience in operations and systems management preferably in an academic setting.
Experience with SEVIS, Terra Dotta ISSS, Ellucian ISSM, Calendly, Onbase or other systems preferred.
Requires superior operational and project management skills.
Requires strong analytical and organization skills to manage complicated system development projects within specific deadlines.
Familiarity with computer hardware and software, including Microsoft Office Professional or similar applications.
Familiarity with networked computer systems.
Superior organizational and personnel management skills.
Ability to prioritize and organize own and others workload effectively, and to delegate work.
Exemplary written and oral communication skills.
Professional manner and presentation.
Ability to maintain confidentiality when working with sensitive information and documents.
Requires the ability to work effectively in a team setting.
