This position is responsible for the management and organization of the front office operations including scheduling, purchasing, medical records, etc., as well as manage the department’s electronic health record system, including training, resolving user problems, managing upgrades, etc.DUTIES and RESPONSIBILITIES:Provides administrative support allowing Student Health Services to function at a maximum level of efficiency and effectiveness•Provides administrative support to Director and SHS staff.•Assists in all phases of recruitment and hiring of new staff.oInitiate, review and submit recruitment documents.oOrganize and schedule on-site campus interviews and web cam interviews.oCreate and schedule candidate agenda and lodging.oMake contact with candidate/new hires regarding reimbursements and required HR paperwork.oGuide new employees with SHS processes (web-time entry, leave requests, SHS orientation, email, SHS policies and procedures).•Coordinates travel arrangements and generates proper authorization forms, compiles and submits travel requests and reimbursements.•Maintains SHS website.•Creates and edits a variety of routine office correspondence, travel authorizations, in-house signage, agendas, handouts, etc.•Manages provider and counselor schedules within electronic schedule (including interns and temporary staff).•Coordinates event planning including reservation of location, ordering refreshments, equipment needs, etc.•Trains staff on general office procedures, software, hardware, accessories, etc. train new employees on office procedures, assist in management of staff schedules and meetings•Performs data collection and documentation to assist with grant, accreditation, and audit processes.•Updates SHS policy manual as needed.•On-campus mail pickup and distribution.•Communicates phone messages due to absence of voicemail system.•Manages requirements for the AAAHC accreditation including payment of dues, provides support for re-accreditation, running statistical reports related to survey requirements, and other related duties. Coordinate and schedule accreditation agenda site-visits including meetings, food, transportation and lodging.•Attends trainings and development workshops.•Manages ordering supplies and equipment for SHS.•Maintains and updates area safety procedures, evacuation plans and assist in fire drills.Addresses all needs for building maintenance/custodial issues.•Responsible for issuance and recordkeeping of building keys and university property.•Manages the student health insurance acceptance/waiver process and coordinates with Business Services for student enrollment.•Performs research into student inquiries regarding health insurance, medical records, and online prevention education courses.•Manages the medical records process, including correspondence, releases and record retention•Assists with the management (communication, compliance, verification of student completion) of the mandatory online prevention training modules in accordance with state and federal requirements•Assists in the planning, organizing and coordinating the execution of projects.•Performs other duties as assignedConducts departmental fiscal management•Gathers information from Banner and other records to interpret fiscal information in various formats to report to Director as well as others within Student Health Services.•Provides “at a glance” balance information to Director•Serves as account manager for purchasing card transactions, including monthly report compilation.•Processes travel and conference attendance for staff members.Performs Client Services/Customer Service•Manages front office communications with students (answering phone calls, handling routine and crisis walk-in students, schedule appointments, waitlist management).•Acts as point-of-contact between SHS and other offices in the University: Business Services, Human Resources, Payroll.•Efficiently acts as first point of triage, assessing patient/clients’ initial presentations at walk-in and assign walk-in patients/clients to counseling/provider staff based on client urgency•Operates as a “one-person” office and conduct all functions within that work unit at times due to absence of other SHS staff.•Uses knowledge of organizational structure, workflow, and operating procedures to ensure smooth operation of the officePerform accounts payable services•Reconciles all appropriate indices on a monthly basis by running and reviewing monthly Banner Finance reports and ensuring that expenditures conform to the budget.•Advises staff on travel expenditure limits to ensure they stay within that limit. Communicates allowable travel expenses and ensures staff compliance with university policies and procedures.•Manages P-Card accounts, interpret policy and implements P-card reporting requirements.•Facilitates hospitality, accounts payable, BPAs, travel expenditures.•Manages budgetary operations by performing accounts payable, BPAs, record-keeping, tracking time and effort, manage P-Card accounts, and provide “at a glance” balance information.•Communicates financial policies to staff•Reconciles the budget on a monthly basis by running and reviewing monthly Banner Finance reports and ensuring that expenditures conform with the budgetConducts human resources support duties•Serves as liaison to Human Resources Department.•Generates new & terminating employee documentation, appointments, and technical requests; such as Recruitment Authorization Forms (RAF’s), request background checks, submit updates for phone directory, request mailbox updates, I-9s, new hire forms, etc.•Assists with preparation of required documents for the Office of the Commissioner of Higher Education (OCHE) as needed.•Collaborates with Human Resources as needed to coordinate the hiring of professionals, students, and temporary staff employees•Communicates relevant information to staff members to support their job effectiveness; and to offices outside of SHS when relevant.•Manages special projects such as compiling the Annual Report.•Interprets and implements administrative rules; understands and communicates department policies to students and staff members. Conducts Payroll Support Duties•Generates appropriate Electronic Personnel Action Forms (EPAFs) throughout the year for new hires, changes in employees’ employment FTE status, and reporting change in distributions/shared costs with other external departments.Perform management, training, oversight for Electronic Health Record( EHR) System•Manage implementation of all components of electronic health information systems, including overseeing day-to-day management of the system (i.e., resolving user problems, setting program defaults, and managing upgrades)Manage software training for all employees (includes everyone from providers to administrative support staff)Maintain and update immunization records, both hard copies and electronic copiesQUALITIES:•Confidentiality - requirements per FERPA•Excellent Customer Services - manages difficult/emotional customers with professionalism; responds promptly to customer needs•Teamwork - embrace diversity, able to work well with others and is open to improvement within the department•Attention to detail and accuracy - time management with ability to prioritize and meet deadlines, multitask, and working independently•Effective Communication - verbal and written•Organizational - manage working knowledge of office policy, procedures, and office equipment•Accounts Payable - record keeping and deposits•Microsoft Office Skills - Word, Excel, Power Point, Publisher, Access•Proficient in MSUB Software Programs - Finance and Student Banner, BOX, Virtual EMS, FAMIS, DocuSign, EmailPHYSICAL DEMANDS:•General office environment with prolonged periods of computer work.•High level of interruptions requiring one to leave the desk area throughout the workday.•Ability to be mobile on campusExperience Required: Three years office experience and/or equivalent combination of education and experience.
