The Role
We are looking for an experienced Project Procurement Specialist – HVDC project (m/f/d) to join our Regional Project Procurement & Logistics Team in Germany/Berlin.
The Project Procurement Specialist is responsible for ensuring that the assigned, complex scope of work (by Supplier or Commodity) is managed in own direction and is completely delivered at the required location and at the right time as per contractual requirement. The Project Procurement Specialist will be the main interface between our suppliers and the project team during all project execution. This position is reporting to the Project Procurement Leader. The responsibility excludes negotiation of Terms & Conditions which is in the scope of the separate Sourcing Function.

Key missions:
The PPS is responsible for:
All Project Procurement relevant activities and processes for the equipment (low to medium complexity) to be delivered to the respective HVDC projects
Coordinate all stakeholders (internal and external) to ensure the on-time issuance of all deliverables of your package. This includes, without being exhaustive, engineering documentation, purchase requisitions, purchase orders, ITP, FAT and SAT documentation.
Make sure that our contract’s T&Cs are also applied to our subcontractors/partners (back-to-back conditions).
Initiates and leads Kick Off Meeting to define the co-ordination procedure for Expediting.
Drives progress reviews with the suppliers and ensures that all Progress reports are received from the suppliers in the correct form at the correct time.
Actively supports engineering & quality discipline for expediting of critical documentation, shall also review and monitor critical documents submittal and approval status with Engineering and Quality function for timely release of Manufacturing clearance to meet “On time delivery” (OTD) target.
Expedites the suppliers for progress of packages allocated for his scope including coordination with internal disciplines to meet the project on-time deliveries.
Checks progress by conducting supplier visits/walk downs (also unannounced, if there is suspicion of irregularities) at the manufacturer’s premises and their suppliers, on the manufacturing shop floors or in their offices.
PLAN-vs.-ACTUAL comparative analysis of planed vs actual procurement activities.
Monitor risks and opportunities for her/his scope and set-up mitigation plan accordingly.
In case of deviations from specifications (non-conformances), assessing the effect thereof on achieving on-time delivery in coordination with Engineering/Supplier Quality.
Works with the suppliers to overcome delays with a concurred mitigation plan.
Shall provide Material Tracking Application (MTA) User Guide (upon MTA availability) to Supplier for better understanding of the tool.
Shall issue relevant notifications to supplier in case of delays or issue request for time extension where delay is not attributable to supplier. Shall issue Contractual Letters to Suppliers with support of Sourcing/Contract Management.
Shall be responsible for Goods Reception to be entered in SAP/ERP system and ensure it reflects accurate Ontime Delivery OTD.
Performance Measurement
On-time delivery of specified material / package.
Accuracy and timeliness of reporting.
Successful claim management against third parties.
Objectives, Targets and Performance Measurements are defined on a yearly basis.
Desired Profile & Experience
Experience in Project Procurement / Sourcing & Buying Management.
Bachelor / Master's degree from an accredited university
Experience in Project / Contract / Engineering Management is an advantage.
Engineering Background (Electrical / Power Engineering (German definition “Elektrotechnik”) is an advantage.
Understanding of legal/contractual aspects of an EPC contract.
General knowledge of purchasing standards, policies, procedures, and Sourcing management philosophy.
Proven knowledge of the products being procured / monitored is preferred.
Languages: fluent in written and spoken English.
Knowledge of local language in the country of employment is considered as an advantage.
Working in SAP, using different PM tools
Team player, owning the ONE TEAM Mindset
Proactive, good communicator and strong interpersonal skills.
Negotiation skills either with supplier base or with customers.
Able to resolve complex issues and make decisions independently.
Ability to effectively present information and respond to questions from groups of managers.
Flexible to travel.
