Grace Health Manager of Patient Services overseeing Specialty Services (Optometry, Podiatry, Physical Therapy), OB/GYN, Pediatrics, and Guest Services in Battle Creek, Michigan

Salary starting at $50,000 (adjusted based on experience and skill)

This position provides leadership and direction to our non-clinical support staff so they can provide our patients with the best care possible. This candidate will oversee the Specialist department, OB/GYN, pediatrics, and guest services.

EXAMPLES OF DUTIES: (This list may not be all inclusive.)

  1. Manages the day-to-day functions of the patient schedules/access, and daily patient flow.

  2. Commits to focus on continuous improvement of workflow processes and procedures. Identifies opportunities for process improvement and follows PDSA process for implementation of changes.

  3. Makes recommendations for template changes to Director.

  4. Is available in the neighborhood as a resource for help. Performs multiple rounds throughout the day to assess patient flow and needs.

  5. Participates in the assessment of department needs, including interviewing, hiring, orientation, efficient work schedules, performance evaluations, promotions, and merit increases, disciplinary procedures, training and education, assesses staffing patterns and recommends changes, including review and disposition of vacation and other requests for paid time off.

  6. Maintains and evaluates data related to departmental performance, including productivity, staffing, and costs. Identify and implement opportunities for performance and financial improvement.

  7. Attends daily huddles.

  8. Manages time keeping functions and time card approvals.

  9. Partners with all Managers of Patient Services to:

    a. Evaluate and improve systems, forms, procedures, and methods used in providing patient care.

    b. Establish and implement organizational policies and procedures, ensuring that policies and procedures are consistent across all departments.

  10. Partners with Clinical Managers/Directors to:

    a. Problem solve operational issues involving clinical services such as patient schedules/access and daily flow, and involving all managers of patient services, as appropriate.

  11. Works with Director of Patient Services to:

    a. Develop business and performance goals, strategies, benchmarking, and evaluation.

    b. Establish and implement organizational policies and procedures, ensuring that policies and procedures are consistent across all departments.

    c. Participate in the preparation of the annual budget and leads in the management of the budge.

    d. Brainstorm/suggest strategies that promote practice growth, new revenue sources/increased revenue, and cost reduction.

  12. Leads and develops staff by providing feedback, building skills and knowledge, and developing a high performing team. Identifies educational needs of staff.

  13. Works with staff to establish and communicate expectations, monitors performance and progress in achieving goals. Helps staff recognize their role in achieving departmental goals.

  14. Manages scheduling and telephone activities in accordance with Grace health, governmental, and other regulatory purposes.

  15. Oversees and coordinates patient flow for the department.

  16. Reviews and approves department supply requisitions.

  17. Participates in professional development activities. Attends conferences and workshops.

  18. Participates in the development of goals and objectives for the quality improvement program.

  19. Attends operational, quality improvement, and educational meetings.

Requirements:

  • High school Diploma or GED. Bachelors degree preferred.

  • Four years work experience in healthcare. Prefer one year of management experience, including supervision.
