The Department of Justice, Office of Attorney General Liz Murrill, is seeking applications for a Legal Secretary in the Public Protection Division. Salary offered will be commensurate with the qualifications and experience of the candidate selected.

Job Concepts

Minimum Qualifications:

  • High school diploma;

  • Four (4) years of experience in which clerical work was a major duty;

  • Must be professional, responsible, reliable, and discreet;

Preferred Qualifications:

  • Professional level legal secretary experience;

  • Knowledge of legal documents and terminology;

  • Proficient in drafting routine correspondence, preparing and proofreading legal and other documents;

  • Ability to multi-task, prioritize, and effectively manage time;

  • Proficient with computer and word processing software;

  • Detail-oriented and self-motivated;

  • Preference may be given to candidates with a baccalaureate degree, college training, and/or technical school degree or credits.

Examples of Work

The position of Legal Secretary may consist of, but are not limited to, the following duties:

  • Provide secretarial support for an attorney or several attorneys;

  • Screen and refer calls to appropriate staff;

  • Sort and distribute mail and track distribution in section-specific mail log;

  • Prepare, proofread, and edit correspondence, reports, and other materials;

  • Organize and maintain various files and reference manuals/materials;

  • Maintain section calendars, as well as make appointments and arrange meeting rooms;

  • Prepare materials needed for meetings, such as agendas, handouts, binders, etc.;

  • Draft a wide variety of correspondence, reports, tables, records, and notes;

  • Establish and maintain electronic files for identifying, recording, and classifying stored data; extract, assemble, and merge stored information to create new documents;

  • Perform and prepare administrative functions such as payroll preparation, travel requisitions, supply requisitions, etc.;

  • Assist with archiving of documents and files;

  • Assist with timekeeping duties, as needed;

  • Typing, preparing, and collating reports;

  • Managing and inputting reports into section database;

  • Perform recurring duties independently;

  • Participate on teleconferences and type notes with substantive details;

  • Accept additional responsibilities as assigned by supervisors.
