The primary purpose of this position is to process passport/visa applications for military, civilian and dependent assigned to Aviano, and to provide administrative support and expertise within the Customer Service Section. Responsibilities Administers, maintains, and manages the passport program for the installation. Receives and accounts for passports and coordinates the issuance of emergency type passports. Uses multiple office automation software with varied functions to produce a wide range of documents that often require formats, such as graphics or tables within text, editing and reformatting electronic drafts, and updating or revising existing databases or spreadsheets. Contacts personally, by telephone, or in writing, competent military and civilian officials, such as organization commanders, legal and law enforcement officers, special investigation agents, local and foreign court officials, Federal, county and city agencies, guardianship authorities, etc., in order to obtain various certifications, statements, pertinent documents, panel records, etc., as evidence material. Requirements Conditions of Employment Qualifications In order to qualify, you must meet the general experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Clerical and Administrative Support Positions. General Experience: One year of general experience is required for GS-0962-04 level positions. General experience is progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled, such as, applying standard processes, procedures and requirements for obtaining a passport, SOFA or VISA and advising on sources and types of documentation needed. OR EDUCATION: Two years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university. OR COMBINATION OF EXPERIENCE AND EDUCATION: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas: 1. Knowledge of military personnel section instructions, practices, and policies. 2. Knowledge of standard office equipment such as electric typewriters, copiers, and fax machines as well as various office automation software programs, tools, and techniques to support office operations and produce a variety of documents such as letters, reports, spreadsheets, databases, and graphs. 3. Ability to gather, analyze and present facts, using tact and courtesy and possess the ability to plan, organize work, and meet deadlines. 4. Ability to effectively and clearly navigate communication barriers through both oral and written means with a high degree of empathy, tact, and diplomacy. PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
