Job Description

Omni Hotels & Resorts is seeking an Owners Club Experience Plannerfor the beautiful new Barton Creek Country Club!

The primary purpose of this position is to be accountable for The Owners Club Members, Affiliate Members and Guests daily activities, itinerary planning, requests, reservations and assistance.

Responsibilities

  • Maintain an ample supply of current information, including rates and schedules.

  • Perform in a manner that demonstrates the philosophies of “Star Service”.

  • Ensure immediate response is given to any and all Member’s inquiries, comments and concerns.

  • Initiate and maintain positive communication with Members.

  • Treat each Member, Member candidate, and other Employee Partners with courtesy, dignity and respect while maintaining a consistent professional manner.

  • Possess a professional appearance and is capable of resolving conflict.

  • Maintain Member History Records and monitor for comments that are pertinent to the Owners Club Operation and Member satisfaction.

  • Be knowledgeable, coordinate and communicate all resort activities including: transportation (shuttle/ rental cars/ airline), dining reservations, floral requests, amenity requests, grocery shopping, Tee Times, spa services, children’s program, boating, tennis, fishing, golf instruction, babysitting, biking, food and beverage offerings, Resort special events, local events, etc. for Members, Affiliates Members and Guests.

  • Assist with pre-arrival functions and responsibilities.

  • Maintain current knowledge of all activities and events at Barton Creek and surrounding areas.

  • Maintain member website.

  • Ability to type and format all arriving Member information.

  • Assist Members with sending and receiving packages, FedEx and faxes and log accordingly for tracking purposes.

  • Answer phones and record messages or directs calls accordingly.

  • Organize and coordinate newspaper delivery.

  • Implement and maintain CSF and complimentary billing system.

  • Must adhere to all various written mandatory Owners Club Standards of Operation policies and procedures, manuals, memos and oral instructions.

  • Keep management aware of Member concerns and assist in implementing corrective measures when deemed necessary.

  • Have a thorough understanding of Affiliate Clubs, services, amenities and offerings.

  • Initiate and maintain effective positive communication between co-workers and other departments.

  • Assist in and be accountable for the timely completion of any projects as requested.

  • Communicate pre-arrival information to Front Desk to ensure a quality arrival.

  • Communicate with Club Manager to ensure proper tracking of all reservations.

  • Periodically inventory and reevaluate all supplies.

  • Responsible for all pre-arrival correspondence and revision for the Members, Affiliates Members and Guest pre-arrival itineraries.

Qualifications

  • Minimum one year administrative experience is required. Experience in a club/membership based environment is also a plus.

  • Proficient in Microsoft Office

    Physical Requirements:

  • The ability to sit and utilize telephone/computer for an extended period.

  • The ability to walk and stand on feet for an extended period.

    Working Environment:

  • Office environment with frequent travel around property.

  • Computer, copy/print/scan/fax machine, files

  • Microsoft Office, Synergy, Birchstreet, Concur, Opera, TSW
