Job Description 

We are seeking a dynamic and organized individual to join our team as an Office Manager & Executive Administrator . This role combines the responsibilities of office management with high-level executive support for our CEO. The ideal candidate will be adept at managing daily office operations efficiently while also providing comprehensive administrative support to the CEO, enabling them to focus on strategic initiatives.

Responsibilities:

Office Management:

  • Oversee the day-to-day operations of the office, ensuring a smooth and efficient workflow

  • Manage supplies inventory, ordering, and vendor relationships to ensure adequate stock levels and cost-effectiveness.

  • Coordinate office maintenance, repairs, and renovations as needed.

  • Maintain a clean, organized, and welcoming office environment.

​​​​​​​ Executive Support:

  • Act as the primary point of contact between the CEO and some internal/external stakeholders, demonstrating professionalism and discretion in all interactions.

  • Manage the CEO's calendar, scheduling appointments, meetings, and travel arrangements efficiently.

  • Conduct research and compile data to support the CEO in decision-making processes.

  • Handle sensitive and confidential information with integrity and discretion.

    Event Planning and Coordination:

  • Plan, organize, and execute company events such as meetings, conferences, workshops, and social gatherings.

  • Coordinate all aspects of event logistics, including venue selection, catering, audiovisual equipment, transportation, and accommodations.

  • Create and manage event budgets, tracking expenses and ensuring cost-effectiveness.

  • Collaborate with internal teams and external vendors to ensure events are well-coordinated and successful.

  • Serve as the point of contact for event-related inquiries and manage RSVPs and attendee communications.

  • Evaluate event success and provide recommendations for future improvements.

    Qualifications:

  • Proven experience in office management, executive administration, and event planning roles.

  • Strong organizational and multitasking abilities with exceptional attention to detail.

  • Excellent communication and interpersonal skills, with the ability to interact professionally at all levels.

  • Resourcefulness and problem-solving skills to address challenges proactively.

  • Flexibility and adaptability to thrive in a fast-paced and dynamic work environment.

  • The ideal candidate should be physically able to lift and carry items and perform tasks that may involve physical exertion.

    We operate on a hybrid schedule for in-office employees. Standard schedules are three days per week in the office, however, the cadence and days are determined by each team and manager.
