ABOUT THE Division Revenue Processing Division accurately and efficiently identify, prepare and enter tax documents and payments for timely processing, while documenting transactions according to specific guidelines. This includes editing, imaging, verification, data capture and deposit of accompanying revenue. General description Join the Revenue Processing Division Incoming Mail Section as an Accounts Examiner! The Revenue ProcessingDivision will be participating in the Returnship Program which will reintroduce on-the-job training skills to individuals who have been away from the workforce for two years or longer and are looking to re-enter the workforce. The Incoming Mail Section is responsible for picking up, opening and sorting of all mail for the agency. In addition, the section must identify and route correspondence and special handled packages throughout the agency. The candidate must have the ability to learn new concepts quickly and apply knowledge appropriately in a highly active environment with ever-changing circumstances. Work hours are from 6:00-7:30 a.m. until 2:30-4:00 p.m.; subject to change during Peak processing time in which overtime may be required to meet business needs. Participates and/or serves in a supporting role to meet the agencys obligation to ensure the timely processing of taxpayers returns and payments by working overtime as needed which may include work beyond scheduled hours, holidays, and Saturdays. Qualifications: Minimum Qualifications Graduation from an accredited high school or GED. Four years experience in a fast-paced, high-volume production, customer service, scanning, or similarly related work environment. Experience using Microsoft Outlook, Excel, Word, Internet, or other Windows applications. Preferred Qualifications Revenue Administration experience. Experie ce preparing documents for scanning or imaging and/or working in an office setting as clerical or administrative support staff. Experience serving as a section Subject Matter Expert (SME) and/or lead facilitating or resolving issues. Substitutions One year (30 semester hours) of education from an accredited college or university may substitute for one year of work experience up to a maximum of 4 years. LICENSES / CERTIFICATIONS A valid Texas drivers license (or state of residency drivers license), a state issued driving record for the last 36 months, and current proof of automobile insurance. In this role you will Extracting/Prepping: Sorts, utilizes equipment to date stamp/cut envelopes and extracts returns, payments and other documents. Examines returns, documents, and remittances submitted by taxpayers, and other divisions; utilizes knowledge of but not limited to, tax returns/payments (for over 60 tax/fee types), our systems, and other divisions tasks/needs to prioritize, edit, prep, track, document (certified mail), and route documents to be scanned or completed by another section/division. Examines documents submitted by shareholders, and other divisions; utilizes knowledge of Unclaimed Property guidelines and that division to prioritize, edit, prep, and route documents to be scanned or completed by them. Analyzes and determines how to handle correspondence documents. Identifies and ensures problems with entry points and missing taxpayer information and routes for correction and/or reprocessing. Receiving/Tracking: Scans Certified Mail and enters taxpayer information on Mail Tracking System to record receipt and conducts research to identify the location of the packages/mail. Utilizes Mail Tracking system to record Certified checks/documents routed to other divisions for review/processing. Inspects, safely drives, and retrieves mail in the agency truck from the main postal facility (adheres to all traffic laws and immediately reports all incidents to management). Receptionist assists internal and external customers and direct calls to appropriate departments. Responds to internal/external stakeholders (Taxpayers, Stakeholders, USPS, couriers, etc.) inquiries about mail received (taxpayer/shareholder documents, backup documents, etc.), addresses concerns, and provides guidance concerning department operations, regulations, and responsibilities. Additional Tasks: Performs supplementary work as assigned including but not limited to assisting the division with further processing of taxpayers/stakeholders documents and payments pipeline such as: conducting research and analysis to verify validity of payments and/or taxpayer information using various systems, identifying/routing problems for correction and/or reprocessing, editing key entry points of various tax forms and remittances, creating payment forms, verifying questionable payments and returns, scanning of taxpayers/stakeholders documents and remittances, performing repetitive keying/entry of information from paper and electronic tax documents and remittances using a personal computer, utilizing software applications to communicate, inquire, and process taxpayers/stakeholders payments, returns and other documentation to expedite the processing of electronic tax documents, fees and payments, preparing deposits for Treasury, destructing paper tax documents and payments, conducting research to analyze taxpayer documents utilizing the Document and Page Locator Numbers (D/PLNs), and obtaining a working kno
