Job Summary

Supports the general administrative functions in a health care setting, including answering phones, greeting/referring/assisting patients, staff, or others, preparing documents and reports, compiling records, scheduling appointments and checking in patients.

Job Responsibilities

Department Specific Job Summary:

The Health Services Specialist serves as the American Heart Association ( AHA ) Training Center Coordinator, managing Ohio University’s AHA instructor network, ensuring compliance, coordinating training, and maintaining equipment and records. The role also oversees financial operations, including budgeting, payment processing, and handling eCards for stakeholders. The Health Services Specialist supports the activities of the Area Health Education Center ( AHEC ) and the Consortium for Health Education in Appalachia Ohio ( CHEAO ) boards by coordinating meetings, maintaining records, and assisting with health-related programs. The role also involves supporting Continuing Medical Education ( CME ) submissions and audit preparations for faculty.

Department Specific Position Responsibilities:

American Heart Association Training Center Activities

  • Serve as the AHA Training Center Coordinator and primary AHA liaison for the department.

  • Manage Ohio University’s AHA instructor network of 60+ instructors, including appointing and overseeing Training Center Faculty in consultation with existing Training Center Faculty.

  • Ensure instructor compliance with AHA requirements by coordinating biennial site visits across a five-county area and maintaining accurate, up-to-date files for all classes and instructors, while adhering to retention schedules.

  • Coordinate internal AHA classes in collaboration with Heritage College of Osteopathic Medicine ( HCOM ), College of Health Sciences and Professions ( CHSP ), and other OHIO partners, including reserving rooms, setting up equipment, securing instructors, and connecting community members to classes. Distribute course cards and exams securely and ensure AHA equipment is properly maintained, managing inventory and necessary supplies.

  • Stay updated on AHA guidelines and course requirements, communicating protocol changes to the instructor network, and ensuring the biennial renewal of Training Center Agreement.

Finances

  • Prepare, manage, analyze, and reconcile complex budgets for operating, foundation, and grant accounts and assist staff with budget management and recommendations.

  • Authorize payments for AHEC -related expenses, including adding new payees, executing service agreements, completing external billing authorizations, processing invoices, and resolving budget issues.

  • Oversee the purchase and distribution of eCards for AHA stakeholders, facilitate mileage reimbursement for staff and AmeriCorps members, and cross-train with the Community Health Program’s Administrative Specialist to provide additional support for financial tracking as needed.

Area Health Education Center ( AHEC ) and Consortium for Health Education in Appalachia Ohio ( CHEAO ) Board Activities

  • Assist with data collection and reporting, communicate with relevant academic areas and the statewide AHEC office, and ensure timely completion of data entry.

  • Coordinate meetings and correspondence with AHEC’s CHEAO board, including organizing minutes, financial documents, and records, and ensuring files are properly maintained.

  • Support the AHEC team with activities related to funding, including pipeline programs, health careers, community-based experiential training, and AHEC Scholars, by engaging in outreach to local partners and preparing program materials.

Continuing Medical Education

  • Assist the AHEC Manager with coordinating the submission of CME hours for HCOM faculty, maintaining organized electronic and paper files for CME submissions, and supporting the preparation and submission of documents for external audits as requested by the American Osteopathic Association.

Minimum Qualifications:

Familiarity with medical, clinical, mental health, and/or social work environment required. Knowledge of standard administrative procedures and practices, office equipment, and computer software typically obtained by a high school degree or GED or equivalent and 3 years related experience. An equivalent combination of education, training, and experience is acceptable. Specific knowledge, certifications, and licensure will apply at the position level.

Preferred Qualifications:

  • Associate’s degree in a health-related field.

Advertised Salary:

The hourly rate starts at $16.84, with the potential of up to $21.48 per hour. The final offer will be commensurate with the candidate’s education and experience in relation to the minimum qualifications for the position.
