The Position

The Administration Office for Supply Chain Management (SCM) provides administration and organisational coordination and support through undertaking a range of administration duties for the Logistics team.

The position works across all Transport and Logistics teams in terms of general administration and organizational duties and responsibilities

Essential Responsibilities:

  • Participate in the weekly team leader and Inwards Goods Advice meeting updating team leaders on all leave, payroll, and general administration issues

  • Develop and maintain building and staff issued key register and ensure all keys are signed for annually

  • Assist and lead SCM work instructions, documents and forms including coordinating the relevant Leaders to review and sign.

  • Ensure all transport team data input and documents are completed weekly/monthly (See work instruction)

  • Ensure Portal is updated and email distribution list are up to date. Be the Front line of the Logistics office

  • Maintain licences and training qualification registers

  • Ensure new employee induction checklists are updated and all employees are inducted and properly documented

  • Coordinate and update leave register and contact register

  • Support stocktaking activities within all JDFPG and ITS warehouse areas with fellow coordinators within the Logistics Leadership Team

  • Act as front line of customer service for all customer enquiries to Logistics department

  • Answer and direct all calls to Logistics Customer Service line to appropriate department areas

  • Manage customer enquiries via phone, email or manage engine helpdesk

  • Categorize and coordinate all Logistics related manage engine help desk requests assigning or redirecting to the appropriate internal groups

  • Manage work orders assigned to Logistics ensuring work is completed in a timely manner, labour hours are recorded in SAP and work orders are closed out

  • Coordinate completion of work order tasks between inter-departmental groups and customers/end users

  • Maintain and update the intranet portal Logistics page

  • Booking of meetings as required

  • Ensure compliance with all site environmental health and safety requirements

QUALIFICATIONS

Minimum Essential

  • Microsoft Office Suite proficient

Desirable

Knowledge of, and ability to implement, security related policies and procedures. · Advanced user in Logistics Management software. · Strong knowledge and experience in warehousing and inventory Knowledge and experience in fleet management inventory operations. · Ability to develop and implement improved procedures to enhance warehousing operations · Undergraduate Degree – Logistics · SAP experience (minimum 2 years)

Minimum Position Knowledge, Skills, and Abilities Required:

1 to 4 years – in a similar role performing Administration Management

Work Environment, Physical Demands, and Mental Demands:

Typical office environment with no unusual hazards, occasional lifting to 20 pounds, constant sitting while using the computer terminal, constant use of sight abilities while reviewing documents, constant use of speech/hearing abilities for communication, constant mental alertness, must possess planning/organizational skills, and must be able to work under deadlines.
