Position Summary

Under the direction of a Teachers- Retirement Examiner 2 (SG-15), the Office Assistant 2 is responsible for updating and maintaining records pertaining to members, retirees and participating employers.

The department's intention is to fill eleven (11) positions.

NY HELPS Program Information

  • This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). Please note: This is a promotional title, so all promotional opportunities must be exhausted before a non-state employee can be appointed via NY HELPS.

  • For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications, and any specialized requirements, of the title for which they apply.

  • At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination.

Minimum Qualifications

EITHER 1) Reachable on the Civil Service eligible list; OR 2) Eligible for reassignment by virtue of having permanent competitive service as an Office Assistant 2 (SG-9); OR 3) Eligible for transfer under the provisions of the Civil Service Law by virtue of having one year of permanent competitive service in an appropriate title.

To be appointed via the NYHELPS program, you must meet the following requirements:

One year of clerical experience.

Job Duties

The duties of the Office Assistant 2 include, but will not be limited to, the following:

  • Provide positive customer service both via phone and written communication with members, employers, other retirement systems, internal staff, and other stakeholders.

  • Adhere to all policy and legal requirements for benefit processing.

  • Maintain proper documentation in member and employer files; acquire and document appropriate detail for all transactions.

  • Review membership applications and process enrollments into our system.

  • Process loan applications and payments from members and employers.

  • Review and process service and salary data received from participating employers.

  • Perform benefits calculations.

  • Review imaged records of members and employers and research activity required to determine proper service credit.

  • Process adjustments to member records.

  • Process member requests for prior and/or military service credit and reinstatement of former membership(s), including evaluation of historic payroll and membership records.

  • Process both transfer-in and transfer-out requests including corresponding with other retirement systems.

  • Contact beneficiaries for overpayment of benefits upon the death of a retiree.

  • Process accurate payment of death benefits for both active and retired members.

Other Duties and Responsibilities:

  • May be deployed to other units within the Member Relations Division based on business need.

  • May perform other duties as needed and as described in the Civil Service Classification standards for this title.

Salary Grade

This position is a Grade 9.

Salary Range

$44,722 to $58,352
