A Day in the Life

Medtronic has an exciting opportunity for a Facilities Admin Specialist to join our Facilities department in Adelaide. You will play a vital role in supporting the facility infrastructure and operations and being the primary liaison contact.

The Facilities Admin Specialist onsite role will manage the state office reception desk and facility infrastructure, general office administrative and provide support for Adelaide office. This is an exciting opportunity to be an integral member of the team as an advisor, counsel to stakeholders and enhancing employee experience.

Responsibilities may include the following and other duties may be assigned:

  • Maintain and report state commercial office Facilities related information and systems.

  • Manage state commercial office facilities activities - mail and parcel management, lockers, car parking, security management, contractor management, stationery, pantry and office supplies as required.

  • Organize catering for office meetings, training and events as required.

  • Manage commercial office finance related activities – budget, POs, and invoices. Act as backup for these tasks if Facilities staff are on leave.

  • Act as primary liaison for base building manager, maintenance vendors and Medtronic functional contacts (i.e. EHS, IT, Quality, Security) for facility management and infrastructure related items.

  • Provide facility orientation to new staff members and order personal protective equipment as needed

  • Act as a liaison between head office Quality and territory staff, providing communication and feedback to the ANZ Quality Management System for continuous Quality Improvement.

  • Ensure and maintain stock room compliance (includes inbound and outbound of inventory and demo management) to Quality procedures and requirements based on ISO13485 and ANZ Quality Management System local requirements.

  • Comply with Medtronic’s Finance and Legal policies and procedures, respond to both Internal and External Audit enquiries in a timely manner, and ensure follow-up on Action Items to address Audit recommendations.

Required Knowledge and Experience

Must Have:

  • Bachelor's Degree with minimum of 2 years relevant experience

  • Previous administration/facilities experience is required

  • Excellent verbal and written communication skills and interpersonal skills

  • Attention to detail

  • Computer literacy including sound knowledge of the Microsoft Office software products

  • Demonstrated effective matrix skills (across territories, functions and business units)

  • Require to be office based
